How to make salary slip

Last updated: 2026-06-19. Author: Mahad and Mehdi Developers.

A salary slip should show employee details, employer details, pay period, earnings, allowances, deductions, net pay, and signature or authorization information.

The first section normally identifies the employer and employee. Add company name, employee name, employee ID if available, department, designation, month, pay date, and optional logo.

The earnings section can include basic salary, house allowance, transport allowance, medical allowance, overtime, bonuses, commission, or any other payment. The deductions section can include tax, provident fund, loan deduction, absence deduction, advance salary, or other approved deductions.

Net pay is calculated by subtracting total deductions from total earnings. A good salary slip should make this calculation easy to understand so the employee can see exactly how the final amount was reached.

Spacing and layout matter because salary slips are often saved as PDF, printed, or submitted for verification. Preview the slip before download and make sure fields, logo, totals, notes, and signature areas do not overlap.

If signatures are required, label them clearly, such as employee signature, accounts officer signature, HR signature, or authorized signatory. This helps the document look organized and avoids confusion.

Salary slips can support employee records, bank requests, rental verification, and internal payroll documentation, but official payroll requirements vary. Always follow the employer policy and local labor or tax rules.
